Privacy Policy

Last updated: 22 October 2026

This policy explains what personal data BeyondPilot collects, why, who it is shared with, and the choices you have. BeyondPilot is an AI adoption platform backed by GenAI Fund that connects enterprises with AI solutions, talent, use cases, events and programs.

Who we are

BeyondPilot is funded and operated by GenAI Fund, through GenAI Technology Development Pte. Ltd., which is responsible for your personal data. It runs the website and web application at beyondpilot.ai. For any privacy question or request, write to team@beyondpilot.ai.

What we collect

We collect only what the platform needs to work:

  • Account details: your name and email address, and, when you add them, your phone number, country, job title, LinkedIn profile and photo.
  • Sign-in with Google: your name, email address and profile picture from your Google account. We do not read your Gmail, contacts or files.
  • What you publish or submit: organization profiles, AI solutions, use cases, proposals, talent profiles and enquiries, and the files you upload with them, such as decks and attachments.
  • Activity needed to run the service safely: sign-in times, security events and a record of administrative actions.
  • Technical data: your IP address and browser type in server logs, kept for security and troubleshooting.

How we use it

  • To create and secure your account and sign you in.
  • To show the profiles, solutions and use cases you choose to publish.
  • To help enterprises and AI providers find each other, including search and AI-assisted matching of use cases with solutions.
  • To review applications to programs and challenges, and to send you emails about your account, submissions and decisions.
  • To keep the platform safe, prevent abuse and meet legal obligations.

Your consent

Before you use the platform, we ask you to agree to how we use your personal data, one purpose at a time: using the platform (required), sharing with a program's partners, judges and mentors (needed to apply to programs), AI suggestions and evaluation (optional), and updates and newsletters (optional). We keep a record of each choice and the version of the text you agreed to. You can change any choice in Settings; it takes effect at once and does not affect what was done before. After you withdraw your consent to use the platform, you cannot use it until you agree again; your data is not deleted.

AI features

Search and matching use AI models to read the text of public profiles, solutions, decks and use cases. That text is sent to our AI provider (OpenAI, directly or through OpenRouter) only to produce search results and match explanations. We do not use your data to train AI models, and our providers process it under their API terms, which do not allow training on it either. If you decline AI, your talent profile is not sent to our AI provider and AI does not evaluate your applications or proposals; people still review them.

What is public

Profiles, solutions and use cases are public only once they are approved and listed. An organization can keep a use case anonymous, and an owner can unlist a solution at any time. Proposals, enquiries, contact details and uploaded files that are not marked public are visible only to you, the people you send them to, and GenAI Fund operators.

Who we share it with

We do not sell personal data. We share it only with the service providers that run the platform for us, each bound to use it only for that purpose:

  • Hosting and storage on servers we operate.
  • Email delivery through Resend.
  • Sign-in through Google.
  • AI processing through OpenAI and OpenRouter.

We may also disclose data when the law requires it, or to protect the rights and safety of our users.

Cookies

We use a session cookie to keep you signed in and a cookie to remember your language. If you accept, Google Analytics sets cookies to measure visits to our public pages; it never runs on pages you sign in to see. We do not use advertising cookies.

How long we keep it

We keep your data while your account is active. When you ask us to delete it, we delete or anonymize your personal data within 20 days, except what we must keep for legal, security or audit reasons. Submissions to a program may be kept as part of that program's record.

Your choices and rights

You can view and edit most of your data in your account, and change your consent choices in Settings. You can also ask us to give you a copy of your data, correct it, delete it, restrict or stop processing it, or object to it, by writing to team@beyondpilot.ai. We acknowledge every request within 2 working days and act on it within the time Vietnam's Personal Data Protection Law (Law 91/2025/QH15) and Decree 356/2025/ND-CP set: 10 days to give a copy or correct, 15 days to stop or restrict, 20 days to delete.

Security

We protect data in transit with HTTPS, encrypt stored credentials and provider keys, limit access to operators who need it, and record administrative actions. No system is perfectly secure; if a breach affects you, we will tell you.

International processing

Our providers may process data outside your country. When they do, we rely on their contractual safeguards to protect it.

Children

BeyondPilot is meant for professionals and is not directed at children under 16. We do not knowingly collect their data.

Changes

We will update this page when our practices change, and tell signed-in users about significant changes before they take effect.
