Problem statement

Collaboration between the company and material suppliers is still largely manual and fragmented across multiple channels (email, WhatsApp, spreadsheets, Microsoft Teams). This fragmentation limits visibility of stock availability and other key parameters (lead time, ROP, etc.), reducing assurance and control for the material team. As a result, there is a higher risk of mismatches between actual stock and agreed quantities, slower response to demand fluctuations, and recurring issues such as supply failures, unreliable material commitments, late deliveries, and heavy manual effort in data compilation.

Expected outcomes and success metrics

Expected Outcomes: 1. Single source of truth: a Supplier Collaboration Hub consolidating all supply information — forecast feedback, shipment confirmation, stock monitoring, stock levels, ROP/max stock, and real-time auto-generated call-off signals. 2. Flexible integration: supports direct API/EDI connections with supplier ERPs, Excel uploads for non-ERP suppliers, and direct integration with ParagonCorp SAP, ensuring inclusivity across all tiers. Success metrics 1. Supply reliability: prevents failures from unavailable stock or delayed call-offs through real-time visibility and automated triggers. 2. Efficiency: significantly reduces manual effort for compiling, monitoring, and validating supply data.

Current process

Supplier check-ups and call-offs are managed manually via WhatsApp, email, phone, and Google Spreadsheets. Forecasts are shared and confirmed across separate channels without an integrated system. Stock monitoring relies on Excel, with several processes not operating in real time.

Current solution

- Supplier check-ups and call-offs are managed manually via WhatsApp, email, phone, and Google Spreadsheets. - Forecasts are shared and confirmed across separate channels without an integrated system. - Stock monitoring relies on Excel, with several processes not operating in real time.

Target users and impacted teams

- Logistics Operations (material flow management) - Material Planners (replenishment planning) - Material Capacity & Reliability (supplier capacity and reliability monitoring) - Global Sourcing & Supplier Partnership (supplier engagement) - Suppliers (stock visibility, end-to-end collaboration) - Tech Team (system setup and integration support)

Data availability and readiness

Key data is available (max stock, ParagonCorp ROP, POs, supplier capacity) but scattered across multiple platforms, not real-time, and often delayed by up to a month.

Integration, deployment and infrastructure

Integration: - Upstream: Hub receives ParagonCorp data from SAP and manual input/Excel (for data not available in SAP), as well as supplier data (via Excel exchange for non-ERP suppliers or direct ERP integration for ERP suppliers). - Downstream: Hub serves as a collaboration portal, with all parties (ParagonCorp, ERP suppliers, and non-ERP suppliers) having dashboard visibility, ParagonCorp connected to SAP, ERP suppliers integrating via API/EDI, and non-ERP suppliers exchanging data through Excel upload/download. - Inputs from ERP and non-ERP suppliers are normalized into a single standard. Deployment: - Supplier systems (ERP/API integration or portal upload). - ParagonCorp SAP environment. Infrastructure: - Cloud-hybrid model aligned with ISO 27001 and GDPR. - Flexible for both ERP and non-ERP suppliers.
